Central Governmental Agency covering a number of disparate functions.

  • There was a remit to establish a robust and consistent approach to demand and resource management across the agency’s four main functions
  • In order to support this, Alchemmy recommended that the department’s IT organisation implement an Enterprise Project Management (EPM) toolset to manage its IT Governance landscape including: portfolio management, demand management, project management, financial and resource management
  • Alchemmy was asked to work with the Department on this selection activity, and focus on the delivery of benefits arising

Alchemmy's Solution

  • Alchemmy worked within the programme to standardise Project, Programme & Portfolio Reporting. An EPM Tool Pilot project was set up to introduce centralised portfolio management processes and identify an appropriate toolset to support these
  • Alchemmy worked with the Department on the toolset selection process: gathering the functional, non-functional, and procurement requirements; providing prioritisation and supporting the Department through the G-Cloud supplier assessment and procurement process; as well as creating submission papers for the Technical Design Authority
  • Alchemmy also advised the Department on the Business Change impact this toolset would have on the organisation. Alchemmy drafted the Business Case and Investment paper to demonstrate the projected return on investment, and created an implementation strategy covering limited configuration of the toolset to meet the needs of the organisation and embed the required changes to ways of working

Business Benefits for our Client

  • Alchemmy ensured that the toolset selected was compliant with the Department’s own IT and Technology Strategy, to eliminate the chance of resistance to the product
  • At the conclusion of this engagement, the Department improved the management and governance of its IT project portfolio in a standardised manner and was better able to provide insight into how IT was delivering value to its business customers
  • The solution was rolled out, subsequent to this successful pilot, and was well received by its users
  • Having identified the Business Change impact to ways of working, the Department was able to identify and address potential areas of resistance and address these concerns via targeted and effective communications
  • The department also engaged other departments in UK Government acting as a trailblazer for optimised portfolio management
